Information we collect
When you request a proposal, contact Kalham or use a private client feature, you may provide information such as your name, email address, telephone number, organization or condominium corporation, property information, project details and supporting documents. Supporting documents may contain financial, technical or other confidential business information, so only information relevant to the inquiry should be submitted.
How information is used
- To respond to inquiries and prepare proposals.
- To provide or administer requested consulting services.
- To review property, project or Reserve Fund information supplied by a client.
- To maintain records relating to the client relationship.
- To send marketing or informational email only where optional consent has been provided.
Private intake and document storage
Website proposal submissions and confidential uploads are stored in access-restricted server storage outside the publicly served website directory. Uploaded documents are assigned randomized internal filenames and are not given public web URLs. Website visitors cannot browse the private intake storage through the public site.
Information sent between your browser and the website is protected in transit using HTTPS/TLS. No internet-based system can be guaranteed to be completely risk-free, and clients should contact Kalham if they prefer to arrange another method for particularly sensitive material.
Marketing consent
The proposal form includes an optional marketing-consent checkbox. It is not required and is not pre-selected. Kalham records whether consent was given and the time of that consent. You can withdraw marketing consent at any time using the Marketing Preferences page or by contacting Kalham directly.
Sharing and service providers
Kalham may use service providers that support website hosting, email, IT administration or other business operations. Information should only be made available to those providers to the extent reasonably necessary to provide those services. Kalham may also share information where required by law or with professional or technical resources where authorized or necessary for the requested work.
Retention
Information is retained only as long as reasonably needed for the purpose for which it was collected, to provide requested services, maintain appropriate business records, or meet applicable legal and professional obligations. Retention requirements may differ depending on the type of project or record.
Your choices
You may contact Kalham to ask about personal information you have submitted through the website, request a correction, or withdraw optional marketing consent. Some records may need to be retained where required for legitimate business, legal or professional purposes.
